Move-In Guidelines

Shipping Guidelines

If you are shipping into the show via a commercial carrier (a company you have hired to deliver your items), then you will be charged material handling fees if the product is consigned to the George Fern Company. If you have excessively heavy items, large equipment or questions regarding the handling fees for commerical carriers, please contact Lesa Davis with the George Fern Company at 816-221-0525.

On-site Guidelines
Exhibit Section A
  • Exhibitors can use the overhead door (9’ wide x 11’ high) located off College Blvd. until 2:00pm on Saturday.  Booths located in 107, 108 can not move in until after 2:00pm on Saturday as they will block the overhead door.
  • Special care must be given to the granite floor in front of the overhead door used for move-in. Carpet must be laid down prior to move-in to prevent damage to the granite floor.
  • Any vehicles or equipment moving in must have rubber air filled tires evenly distributing the weight with a wheel load of no more than 3,000 lb.
  • Do not use the dock on the east side of the OPCC off of Woodson Road to move into Exhibit Section A because you will encounter conventional size doors that may not allow enough room for you to get into Exhibit Section A.
Exhibit Sections B & C
  • Exhibitors can use the dock (2 ramps, 6 dock doors) located on the East side of the Convention Center off Woodson Road.  Dock doors measure 20’ wide x 16’ high.
Please do not cut the visqueen (clear plastic protecting the carpeting) in your booth.  George Fern Company personnel will cut it out of your booth prior to the show opening.  If plastic is left, it remains to protect the carpeting from soil, rust, etc.

Please do not place wooden pallets directly onto the carpeting.

For your convenience, George Fern Company will have “Empty” container labels available at the Exhibitor Service Desk (located at the end of the 800 aisle). It is important that labels are not placed on any containers until you are done. All containers labeled “Empty” are removed from the show floor and placed on storage trailers. Fire Marshall Regulations do not allow empty cartons or crates to remain in the exhibition area.

ICE

Ice for your plants will be available near booth 627C at the following times:

  • Saturday 5:00 pm
  • Sunday 10:30 am
  • Monday 10:30 am
Parking:

We hope that you will park your regular sized vehicle at your hotel, but if you are commuting to the convention center from another location or have an oversized vehicle, please park in the northeast corner of the convention center parking lot. The tongues of the trailers cannot stick out into the traffic lane that will impede traffic flow though the parking lot. We want to have plenty of parking close to the entrance for YOUR CUSTOMERS!

Selling/Signage/Sales Tax

Direct sales of any item from the booth while the trade show is in progress are strictly prohibited.

If you want to sell your booth at the end of the show you can.  Just go to the registration desk, sign up, get an official “booth for sale sign” from the registration desk AND a sales tax compliance packet provided by the Kansas Department of Revenue.  You must submit by mail a sales tax form to the state of Kansas. Buyers or exhibitors will not be allowed to take merchandise out of the exhibit hall before 5:00pm on Monday. There will be no exceptions.
