Rules and Regulations

All exhibitors must adhere to the Western Nursery and Landscape Association's Rules and Restrictions and the Overland Park Convention Center's Policies and Procedures.

Ceiling Restrictions:
Exhibit Hall Foyer: Ceiling Height 28'

Main Exhibit Hall: Ceiling Height 30'

Ballroom Exhibit Hall: Ceiling Height 28'

Weight Restrictions:

Exhibit Hall Foyer:

  • Special care must be given to the granite floor in front of the overhead door used for move-in.
  • Carpet must be laid down prior to move-in to prevent damage to the granite floor.
  • Any vehicles or equipment moving into this area must have rubber air filled tires evenly distributing the weight

Main Exhibit Hall: No Weight Restrictions

Water Restrictions:

Exhibits with water features can only use pre-formed fountains and pre-formed hard plastic ponds with a 10 gallon limit of water on carpeted areas. Absolutely no membrane ponds will be allowed on carpeted areas. The pre-formed ponds and fountains will have to be placed on visqueen to protect the carpet and no dirt will be allowed. Stone or brick will be allowed around the ponds and fountains as long as a protective surface is laid down on the carpet prior. The exhibitor will have to order a fill and drain at a charge from the convention center. No exhibitor will be allowed to fill or drain their own fountains or ponds in the convention center. Electricity will also have to be ordered for the pumps if needed through the convention center. The exhibitors will be held responsible for any damages from these ponds and fountains.

Visqueen Restrictions:

No Exhibitor is authorized to cut visqueen. George Fern Company will be cutting the visqueen based on the rules set forth by the Overland Park Convention Center. 

Vehicle Restrictions:

Automobiles, trucks, tractors, machinery and other motor vehicles utilizing flammable fuels, which are placed on display inside the Overland Park Convention Center shall have no more than quarter tank or five (5) gallons of fuel in the tank. All fuel tanks shall be locked or effectively sealed and at least one battery cable shall be disconnected from the ignition system. Ignition keys for vehicles on display shall be kept by a responsible person at the display location for removal of such vehicles from the building in event of emergency. Carpeting or visqueen must be placed underneath the vehicle for any possible leakage.

Electrical Restrictions:

Please note that electricity will not be provided with the rental fee of your exhibit space. Due to Fire Marshall Regulations, a licensed electrician must install all of your electrical requirements. Please note that all electrical orders must be placed through the Overland Park Convention Center. It is to your advantage to read and complete the enclosed electrical forms and return them to the  Overland Park Convention Centeras soon as possible. Use of Space Restrictions:

No exhibitor may assign, sublet or apportion the whole or any part of the exhibit space assigned to him or her, nor permit any other party to exhibit therein, nor to distribute any promotional or advertising materials in the occupied space other than those manufactured, grown or sold by the exhibitor in their regular course of business.

Signs & Posters Restrictions:

The Overland Park Convention Center requires posters to be mounted on easels and/or individual holders. Also, no posters, playbills or any other signage can be taped, stapled or affixed to any surface in the building. All signage must be of a printed nature and meet with the approval of the management. Handwritten signs are prohibited.

"Booth for Sale" signs must be requested through the National Green Centre. If "Booth for Sale" signs are displayed that are not approved by the National Green Centre, they will be removed. "Booth for Sale" signs will be available at the National Green Centre Registration Desk throughout the duration of the show.

Line of Sight Restrictions:

Each exhibitor is entitled to a reasonable sight line from the aisle, regardless of the size of his exhibit. Thus, all exhibit materials in excess of 36" in height and placed within 10 linear feet of an adjoining exhibit must be confined to that area of the exhibitor's space which is within 5' of the back line. Exhibitors with large space (Example: 30 linear feet or more) should also be able to use as much of the total floor space as possible as long as they do not interfere with the rights of others. End cap booths have the right to an 8 ft high display, the full length of their back line. Height of all displays (except island and end cap booths) shall be limited to 3' in the front half of booth or must have a "see-through" look so adjacent exhibits will not be blocked from view. Height in rear half of booth is limited to ceiling height for your designated area.

Any outside contractors hired for installation and dismantling must abie by exhibit regulations and must provide certificate of insurance and required forms to the official show decorator.

Fire Marshall Restrictions:

The Overland Park Fire Marshall will be visiting the 2012 National Green Centre throughout the event.

Aisle Restrictions:
Aisles must be kept clear in accordance with Fire Marshall's regulations. Violations will be removed at the exhibitor's expense. National Green Centre or the show decorator will not be responsible for damage resulting from encroachment in the aisle. Displays must be arranged to enable selling within the confines of space rented. No selling is allowed in the aisles. Must maintain 10' aisle and 10' perimeter around show floor.

Balled and Bareroot:
The Fire Marshall is fine with either balled or bareroot as long as it is fresh, green and watered.

Direct Sales Restrictions:

Direct sales of any item from the booth while the trade show is in progress are strictly prohibited. If you are going to sell your booth, you must pick up a Kansas Sales Tax Packet and submit by mail a sales tax form to the state of Kansas. Buyers or exhibitors will not be allowed to take merchandise out of the exhibit hall before 5:00pm on Monday, January 9, 2012. There will be no exceptions.

Solicitations Restrictions:

Sales or solicitations by individuals and/or firms not renting booth space in the show are prohibited. Please report violations to National Green Centre Management.

Product Restrictions:

Only those products and/or services considered by Show Management as relating directly to the horticultural industry, including the business management of horticultural enterprises, may be exhibited at the National Green Centre. Products containing hazardous elements, chemicals and/or compounds may not be exhibited at the National Green Centre.

Indemnification and Limitation of Liability:

Neither the Association, the Convention Center, nor their representatives will be responsible for any loss, damage or injury that may occur to the exhibitor, the exhibitor's employees or property from any cause whatsoever. It is the exhibitor's responsibility to protect machinery and exhibits so that no injury will result to the public, visitors, guests, persons or property. The Association is not an insurer and all property of the exhibitor is understood to remain in the exhibitor's care, custody and control in transit to, from or within the confines of the exhibit hall subject to the rules and regulations of the Association and the Convention Center. Exhibitors are urged to take whatever precautions they feel necessary to protect valuable materials and equipment, including insurance as well as special guards. Neither the Association nor any of the official contractors can be held responsible for theft, vandalism, fire, or water damage. Exhibitor shall indemnify, defend and hold harmless the Association, the Convention Center, their respective officers, directors, employees and agents from any damage or charges imposed for violation of any law or ordinance, whether occasioned by the negligence of the exhibitor or those holding under the exhibitor, as well as to strictly comply with the applicable terms and conditions contained in the agreement between the Convention Center and the Association regarding the exhibition premises. Further, exhibitor shall indemnify, defend and hold harmless the Association, the Convention Center, their respective officers, directors, employees and agents against and from any and all losses, costs, damages, liability, or expenses (including attorneys' fees) arising from or by reason of any accident, bodily injury, property damage or other claims or occurrences to any person, including exhibitor, its employees and agents, or any business invitees, arising out of or related to exhibitor's occupancy or use of the exhibit premises in the Convention Center or in and adjacent to the Convention Center, including storage and parking areas. The terms of this provision shall survive the termination or expiration of this contract. As used in this contract, the term "Convention Center" means the Overland Park Convention Center.

Exhibitor Cancellations/Refunds:

All notices of cancelation must be received in writing. Booth deposits and payments are non-refundable and non-transferable between booths and/or other exhibiting companies. If an exhibitor chooses to cancel or release one of their booth spaces, they cannot transfer any payment made towards that booth to another booth or to another company's booth(s).

Late Arrivals/No Shows:

Exhibitors who cannot arrive by 5:00 p.m. on Saturday, January 7, 2012, will need to alert Show Management. If the National Green Centre is not notified in advance of a late arrival and there is no activity or sign of set-up in booth at5:00pm on Saturday, January 7, 2012, it could be mistaken as a "no show" and sold to someone on the on-site waiting list. "No shows" are cancelled and lose priority for booth space for subsequent years.

Show Cancellation:

In case of cancellation of the exhibition or unavailability of the exhibit space for the specified uses due to war, threats or acts of terrorism, governmental action or order, act of God, fire, strike, labor disputes or any other causes beyond the Association's control, this Contract shall terminate, and the exhibitor shall be entitled to return of the rental fee for the exhibit space, less than pro rata share allocable to the exhibit space of the expenses incurred by the Association in connection with the exhibit; provided, however, that if the exhibition is rescheduled, the exhibitor shall not be entitled to a refund. The remedies in this section shall be the exclusive remedy of the exhibitor against the Association or the Convention Center in the event the exhibit is canceled or the exhibit space is unavailable for use.
